Summary of Duties

The College of Pharmacy at Washington State University is focused on being a leader in advancing, promoting and protecting human health by providing a transformation educational experience to the next generation of health providers.

The Office of Student Services in the College of Pharmacy is seeking an enthusiastic, customer-service oriented, organized and engaged individual to join our student services team. This full-time position is responsible for providing primary support to outreach and recruitment efforts and back up support to the admission process, professional development and retention of prospective Doctor of Pharmacy students.

This position requires travel of up to 60% effort to local, regional, and national locations for student recruitment visits.

This position will also be responsible for coordinating student service events/activities throughout the academic year.

The Position

60% Student Recruitment and Outreach

Develop and implement a comprehensive outreach and recruitment plan for prospective Doctor of Pharmacy students in alignment with the College of Pharmacy’s strategic goals, under the general supervision of the Director of Student Services.

Evaluate current recruitment strategies, plans and programs. Identify creative and/or new approaches for student recruitment for the WSU Spokane campus and Yakima programs. Including, but not limited to, virtual recruitment and tours.

Oversee the utilization of Hobson Radius CRM in recruitment efforts. Provides leadership and training to the Office of Student Services regarding best practices and appropriate use of system.

In collaboration with the Director, responsible for marketing and communication materials, website and related activities. Develop and maintain the communication plan, revising on an as needed basis.

Coordinate, plan, and carry out recruitment efforts for the Doctor of Pharmacy
program under the general supervision of the Director of Student Services.

Responsible for traveling to designated recruitment sites locally, regionally and nationally for recruitment related activities.

Establish relationships with prospective students, advisors and connectors to promote Doctor of Pharmacy program and communicate program requirements.

Work with other in-state and out-of-state colleges and community colleges to ensure students are aware of our programs. Communicate College of Pharmacy program requirements to other high school and college advisors to ensure they understand our requirements for entrance into our programs.

Collaborate with the communications department to help develop and distribute marketing and resource materials for student recruitment and retention.

Collaborate with WSU Spokane Student Affairs Admission and Recruitment team.

Collaborate with the development department to host events.

Collaborate with the College of Pharmacy Ambassador program and Alumni.

Advise prospective students regarding program admission requirements, evaluate transcripts and determine course equivalencies.

Maintain electronic confidential student files and a database of incoming students.
Help guide students in completing necessary admissions requirements and paperwork and reviews progress to ensure all admission requirements are met.

25% Admissions

Provide assistance with the admissions process for the Doctor of Pharmacy program under the general supervisor of the Director of Student Services, in collaboration with the Admissions Coordinator.

Under general supervision, receive and evaluate transcripts for course equivalency, determination of prerequisites and verification of departmental requirements. When necessary request syllabi from other universities to determine acceptability of courses to meet our requirements. Determine what courses are needed to fulfill program requirements for admission.

Provide assistance with application evaluation, tracking equivalencies in WebAdMit, reading applications and responding to applicants.

Guide students in completing necessary admissions requirements and paperwork. Reviews progress to ensure all admissions requirements are met.

Assist transfer students, field inquires about program policies and prerequisites, and advise potential students regarding course equivalencies and transfer of credits.

Collaborate in the planning and coordination of Doctor of Pharmacy interviews with Admissions Coordinator for the Spokane and Yakima locations.

Collaborate in the planning and coordination of recruitment and admission related events, such as orientation, yield events, group visitation programs and other potentially planned events.

Interact and communicate with WSU administrative offices including but not limited to Admissions Office, Registrar’s Office, Student Accounts, Scholarship Services, and Financial Aid.

Provide support in the coordination of student services activities and/or events including but not limited to: new student orientation, white coat and career day.

Serve as primary contact for students and faculty regarding program policies, procedures and course prerequisites/requirements.

Maintain electronic confidential student files and a database of incoming students.

Position Qualifications

Required Qualifications

A Bachelor’s degree OR equivalent education/experience.

Additional Requirements

Experience providing support and/or coordinating activities related to student services in higher education such as admissions, advising, career counseling, financial aid, outreach, recruitment and/or retention.

Demonstrated strong interpersonal and communication skills necessary to represent the College of Pharmacy in a professional manner.

Position requires a valid driver’s license.

Position requires travel of up to 60% time to local, regional, and national locations for student recruitment visits.

Preferred Qualifications

A Master’s degree.

Experience at WSU or other institute of higher education within a student services role (including student recruitment and retention, academic support).

Demonstrated ability to work collegially and collaboratively with diverse internal and external individuals and groups.

Ability to multi-task and work with frequent interruptions.
